How to Manage Calendar Events and Reservations

Overview
The Calendar module in the Manager Dashboard is your central hub for community engagement. From this page, you can create building events, send resident reminders, manage RSVPs, and view facility reservations. This tool also allows you to process event payments and automate post-event feedback surveys.

How to Access
1. Log in to the Manager Dashboard.
2. Click on the Calendar tab located in the top navigation bar.

Key Capabilities
* Event Management: Create, edit, cancel, or delete building events.
* Reservation Tracking: View all resident bookings for amenities (e.g., Pool, Gym) via the Reservations filter.
*   Communication: Email blast registered residents or send push notification reminders.
*   Check-In Tools: Check residents in digitally and download attendee lists as CSV files.
*   Feedback Loops: Automate post-event surveys and route positive reviews to external platforms (e.g., Google).

Step-by-Step: Creating a Building Event

Follow these steps to schedule a new event for your residents.

1.  Initiate Event:
    *   From the Calendar page, click Create in the top left corner.
    *   Select Building Event from the pop-up options.
    *   Click Create an event in the bottom right.

2.  Basic Information:
    *   Enter the Event Name and Description.
    *   Click Next.

3.  Images & Flyers:
    *   Header Image: Drag and drop a photo or click Browse Library.
        *   Note: The library automatically searches for stock images based on your Event Name.
    *   Flyer: Optionally, upload a PDF document (flyer) for the event.
    *   Click Next.

4.  Logistics:
    *   Enter the Location (e.g., Pool Deck).
    *   Select the Date, Start Time, and End Time.
    *   Frequency: Choose if the event repeats or select Does not repeat.
    *   Click Next.

5.  Capacity & Guests:
    *   Total Capacity: Set the maximum number of people allowed to reserve.
    *   Guests: Define how many guests a resident can bring (enter `0` for none).
    *   Collect Guest Info: Check this box to make contact profiles mandatory for guests.

6.  Pricing (Optional):
    *   Event Price: Enter a price per person if this is a paid event.
    *   *Note:* Residents pay in full upon reservation. Payments are processed in-app, and funds are disbursed to the property the following month.

7.  Surveys & Reviews:
    *   Post-event review: Toggle this to send an automated 1-5 star survey one hour after the event.
    *   Positive review follow-up: If the survey is enabled, you can route residents who rate the event 5 stars to an external site (e.g., Google Reviews) to leave a public review.

8.  Notifications & RSVPs:
    *   Automated Reminders: Set push notifications for registered attendees (e.g., 3 hours prior) or all residents (e.g., 1 day prior).
    *   External RSVPs: If you are *not* using the in-app reservation system, enter an external URL or email address here to direct residents elsewhere.

9.  Finalize:
    *   Click Create a building event. The event will now appear on your calendar.

Managing Existing Events

Once an event is created, click on the specific event block in the calendar to access management tools:

*   Edit/Delete: Modify event details or remove the event entirely.
*   Cancel: Cancel the event without deleting the historical record.
*   Email Blast: Send a message specifically to residents who have registered.
*   Check-In: Use the checkbox next to a resident's name or the **Check-in** button to mark attendance.
*   Export: Click to download the resident guest list as a CSV file.

Feature Deep-Dive: Event vs. Reminder

When you click **Create**, you will see two primary options. Choose the one that fits your needs:

* Building Event: Best used for social gatherings, classes, or parties. Requires RSVP, supports paid tickets, allows guest management, and sends post-event surveys. 
* Reminder: Best used for maintenance notices or general announcements. Informational only. No RSVP required and no post-event survey options.

Pro-Tips & Notes

* Review Management: You can view the results of your post-event surveys in the **Review** section of the dashboard tab.
* Permissions: If you see extra options in the creation menu not listed here, they may be administrator-only features.
* Check-In Availability: The ability to check residents in (via Dashboard or the Hub app) becomes available only after at least one resident has signed up.
